Porta loos aren't going to cut it. Can't remember the exact figures but a) they are very expensive and b) you need lots of them to cater for laws.
Much better trying to get a hall with toilets, showground, sheep station (with shearers quarters) etc to save having to create infrastructure.
The influx for something like this could be quite large - I would expect up to 500 people, esp. as the sport will continue to grow.

There is another universal holiday in April - ANZAC Day.
In 2007 it falls on a Wednesday. If people could get two days off work we could make it a five day weekend when Mildura is a little quieter, and maybe have the whole thing somewhere like APEX Beach where there is a campground on a huge sandbar on the Murray with facilities. Makes logistics easier.
Or hold it just out of Mildura in the fantastic Murray Sunset Country or Hattah Kulkyne National Park - that'd be my preference.
It'd be sort of nice to have an estimate of how many cachers/family & friends we are talking attending.

Remembering that it's no small feat - Mildura is about 5 hours from Melbourne/Shepparton so people are looking at a fuel bill of at least $100 to even attend that plus cache costs & accommodation etc.

There's no shortage of opportunity for locations.
The only other thing about Mildura at Easter is the weather (lovely) attracts people in droves to the river. Camping may have to be arranged at a private location. I and Embi have contacts up there and may be able to arrange something. You'd need area for a large camp, preferably near the river (houseboat....$$$$) and probably portaloos for conveniences.
If we are thinking international interest we'd need to be able to accommodate them somehow.
I think 14 months is long enough to organise it. Most of it will need to be done in the last few months anyway.
Sounds like a great idea - all I have to do now is work out how to get Easter off

Contacts in the area will be critical so thatÂ’s great, this is clearly potentially bigger than a few teams could pull off so maybe a group with people from each state, or at least the neighbouring ones to coordinate is needed.

Lexton is an easy drive from Melbourne - though it was advertised as a 4wd event there were a few in 2wd who attended. If it had been open to all comers it might have been busier.
Even if you ended up with a similar or slightly larger number from Vic I can't see us getting 400 from the other states.
If I got 200 to something like this it'd be huge.
The advantage of going to ANZAC Day weekend is that service clubs are less likely to be committed to other events as they would be on a busy weekend like Easter.
Groups like Lions & Rotary are great to cater events like this. They generally have food vans capable of providing on site meals of a BBQ type or in some cases more variety. It provides them a great source of income and they take some of the load off the event organisers.
I have been heavily involved in running a Remote Control Gliding event at Jerilderie over the past 10 years and it gets bigger every year. About 70-80 entrants plus support & family. The Lions there cater the on field activities and do a big roast dinner in the town hall on the Saturday night which is a really social occassion. On field loos and other services have become the norm over the past few years.
It's these sort of things that can make or break the event for the participants & the organisers.
From that point of view I wouldn't choose Easter.

I think Easter would be the best time. Put my vote it. It's much easier with 2 public holidays, and everyone at least has to have good friday off. And hey, I'm happy to play easter bunny so the kiddies don't miss out.

Showground would be good place for lotsa camping, but it comes with lots of council laws and regulations and could be far too much work. <p>
Might I suggest a caravan/cabin/camping park. There are some huge ones in Mildura and around with swimming pools, toilets and showers that are cleaned for us. All cooking facilities and usually fun stuff for the kids. Takes out most of the hard work. if we can book out a campground for the weekend it would be ideal! Here are the websites of a few. Each family would then just have to pay for their campsite/cabin instead of us needing to set up the infrastucture, which would end up costing more. I'm sure we could fit over 200 people in any of these grounds.

I'm glad you have the luxury of public holidays. Some of us don't.
Everyone always forgets the shiftworkers....
My office is open 24/7. I'm not complaining. I love my job. Just miffs me that everyone expects you get the same as them.
The second is that if you go with the showgrounds the camping is just that. No BBQ's, playgrounds (parents sanity savers) or anything else. No campfires.
Also, I'm tipping that you won't find a campground in Mildura with 50 sites free at Easter. Everyone in Victoria heads for the Murray river as the weather gets too cold for oceanside playgrounds. Mildura at Easter will be chock a block full of holiday makers and ski boats.
A lot of sites will be on perpetual bookings too. People who book their site or cabin this year to get the same again the following year.

One suggestion from myself..
Seeing that many cachers these days are "tech" cachers, you'll also need to provide electricity to power and recharge all the laptops, pdas and other assorted items. A secure area that people can set up these items would be good as well.
The use of the scout hall in Dubbo last year was fantastic as it gave an area for people to set up and leave their tech equipment there securely. If your planning to do this event on a significantly larger scale then i'd go with the showground idea, there's plenty of camping area, theres normally exhibition halls etc to set up gear in and you'd hopefully have the site to yourselves.
